VOICE-MAIL, ANSWERING A CALL and CONFERENCE CALLS-
Voice mail - - Many default greetings on a toll-free number are long. First listen to the default greeting, the outgoing message. You will want an inviting, yet professional, outgoing message on all your voicemails.
Keep it short. 15 seconds is fantastic, 25 seconds is good, 45 seconds and you will start loosing callers. We have actually heard outgoing messages over 2 minutes long. Keep it to the point.
Example: You have reached Daves home and office. I may be on the other line or away from the phone. Please leave a detailed message, including your name and number,and Ill get back to you as soon as possible. Thank you." Practise your outgoing message, time it. This one is 10 seconds.
Example: Hello, you have reached the Wilsons residence and Daves office.
Answering a Call- - When you answer a business call it is good practice to identify yourself instead of just saying hello. Example: Hello, Online Tools. This is Dave.
Conference Calls- - As your business expands you will become much more knowledgeable; more and more people will ask questions, will seek your advice, and will want to talk to you about an idea.
There are free conference call web sites that allow you to hold a weekly or even semi-weekly conference call to address multiple issues.
